Built for UK water hygiene· PPM rounds and reactive work

Water hygiene scheduling software that knows what's due and what's overdue

PPM across dozens of sites, at monthly, quarterly and annual frequencies, with reactive jobs landing mid-week: that's logistics, and BlueWave schedules it like one.

The problem it kills

Run scheduling in a generic calendar and the gaps are structural: it doesn't know that a TMV service is due in a fortnight, that last month's date was never done, or how full the engineer you just booked already is. So the office compensates with spreadsheets, phone calls and memory. That works right up until an audit, a missed date, or the day your scheduler goes on holiday.

Twelve months of PPM on one screen

The Planner gives every job a row and each month of the year a cell: done, booked, planned or overdue. Monthlies, quarterlies and annuals sit side by side, so a gap shows up while there's still time to fix it.

  • One row per job, one cell per month
  • Done, booked, planned and overdue at a glance
  • Every date comes from the job's own repeat pattern

A calendar that knows your engineers' weeks

Drag a job onto an engineer's lane and watch their day fill up: booked hours against the daily capacity you set, the crew on each job, and a rail of the jobs still waiting for an engineer. Board, Timeline, Day, Week, Month and Agenda views, reshuffled in seconds when reality interferes.

  • Drag-drop assignment across the engineer team
  • A lead engineer and up to four more on any job
  • Capacity at a glance — see who's loaded before you load them

Reactive work, dispatched in minutes

A positive Legionella result is an emergency with a paper trail attached. Raise the reactive job, give it to the engineer you choose, and a push notification puts it on their phone before the kettle boils, skipping the phone chain and the scribbled note.

  • Reactive jobs jump the queue without breaking the planned week
  • A push notification tells the engineer it's theirs
  • The audit trail starts at the moment of dispatch

Everyone works from the same plan

Book a job in and the engineer's phone buzzes before you've closed the panel; push notifications carry new work and changes straight to the field. One schedule for the whole office, at a desk or on an iPad.

  • Push notifications reach the engineer when work is assigned or changes
  • One board for every coordinator
  • Drag-drop at a desk, tap-to-place on an iPad

Generic calendars schedule meetings. This schedules compliance.

A generic field-service calendar can't tell a TMV service from a cooling-tower clean, so repeat regimes, missed dates and a twelve-month plan never materialise. BlueWave's scheduler runs on the same data as your compliance records, which is the only way those features work.

How the monitoring regimes map to the standards lives on the compliance hub — or start from the ACoP L8 compliance checklist.

Common questions

Can it schedule recurring PPM at different frequencies?

Yes. Monthly temperature runs, quarterly cleans and annual risk reviews sit on one plan, and the scheduler produces each date at its own frequency. You set the regime once, each job keeps one reference, and every date books in under it.

How does it handle a reactive job when a positive Legionella result comes in?

You raise the reactive job, give it to the engineer you choose and book it for today. A push notification tells them straight away, and the planned week stays as it was. The audit trail starts at the moment of dispatch, which is where an investigation looks first.

Can I see who holds which accreditation before I book them?

Each engineer's accreditations sit on their profile with their expiry dates, and the dashboard lists the ones about to lapse. The booking picker doesn't filter by accreditation yet, so check the profile first. Set a daily capacity and the Timeline shows who is already loaded that day.

How is this different from a generic field-service or calendar app?

A generic calendar doesn't know a TMV service from a cooling-tower clean, so it can't tell you what falls due next month or which dates were missed. BlueWave's scheduler runs on the same jobs and repeat patterns as your compliance records, which is what makes the twelve-month plan and the overdue dates work.
